Role overview

The Procurement Specialist – Supplier Service is responsible for the end-to-end execution and optimization of supplier order flows across domestic and international supply chains, ensuring delivery reliability, proactive issue resolution, and continuous improvement of procurement operations. The role requires strong analytical capability, system proficiency, and cross-functional collaboration with suppliers, Customer Service, warehouse operations, and internal stakeholders.
Responsibilities
- Own the full order lifecycle from placement through delivery, including validating lead times, tracking status, expediting critical orders, and resolving exceptions such as delays, short shipments, freight damage, and incorrect materials, while ensuring transactions are processed accurately within defined service levels.
- Serve as the primary point of contact among suppliers, Customer Service, and warehouse operations, driving proactive communication about disruptions, owning escalations through to resolution, and building working relationships to keep operations stable.
- Track and drive performance against key operational KPIs, including order-processing productivity, supplier delay rates, and claim turnaround time, while analyzing trends to surface root causes and translate findings into concrete recommendations.
- Manage order workflows across ERP, case management, and supplier portal systems (Newton, Pega, Prosugate), maintaining data accuracy and compliance across all procurement transactions, supporting issue identification and testing through system changes, and keeping operational dashboards reliably current.
- Identify recurring operational breakdowns, drive root cause elimination, and actively contribute to automation and workflow improvement initiatives, working cross-functionally with Procurement, IT, Customer Service, and Warehouse to raise the performance floor across the supply chain.
- Partner with Sales, Product Development, and Customer Service on quotations, expedites, and special orders while providing timely, accurate status updates to internal stakeholders and contributing to broader initiatives that improve both customer experience and operational efficiency.
- Operate with a high degree of initiative and independent judgment in a fast-paced, high-volume environment, managing competing priorities effectively and taking on additional duties as the role evolves.
- All other duties as assigned by management.
Requirements
- Bachelor’s degree in supply chain, Business, Engineering, or related field (or equivalent experience)
- 2–4 years of experience in procurement, supply chain operations, or order management in a high-volume environment
- Strong analytical and problem-solving skills with the ability to interpret operational data and identify trends
- Advanced proficiency in Microsoft Excel (pivot tables, lookups, data analysis)
- Excellent time management and prioritization in a fast-paced environment
- Strong attention to detail and data accuracy
- Effective communication and stakeholder management skills
- Ability to manage conflict and resolve issues with internal and external partners
- Self-driven with a continuous improvement mindset
