Role overview
Job Duck is hiring a Marketing Operations Specialist to support daily execution of marketing and business development initiatives, including content creation, social media, email campaigns, events, and CRM management, while coordinating projects and maintaining marketing systems in a fast‑paced, remote-friendly environment.
Responsibilities
- Identify opportunities to grow the firm’s online audience and strengthen professional relationships
- Support social media engagement by interacting with referral partners, professional organizations, attorneys, fiduciaries, and community contacts
- Utilize AI tools to improve efficiency and support marketing execution
- Perform routine website updates including attorney credentials, biographies, awards, events, news, and directory information
- Organize and maintain marketing assets including biographies, CVs, headshots, articles, presentations, videos, awards, and approved marketing materials
- Perform quality assurance reviews before campaign launches
- Identify duplicate records and perform routine database audits
- Maintain accurate contact records in HubSpot
- Support attorney business development initiatives through research and opportunity tracking
- Research conferences, podcasts, webinars, professional associations, speaking opportunities, and industry events
- Assist with webinar administration, CLE accreditation support, attendee lists, event materials, and post‑event contact management
- Create and schedule evergreen social media content using approved firm resources, articles, awards, attorney bios, presentations, FAQs, events, and website content
- Review website content for outdated information, broken links, and content accuracy
- Build and schedule approved newsletters and email marketing campaigns
- Monitor campaign performance and maintain reporting records
- Manage contact lists, segmentation, and CRM data hygiene activities
- Draft presentation materials based on outlines and direction provided by leadership
- Help maintain attorney topic banks, presentation resources, and outreach lists
- Maintain a centralized calendar for awards, conferences, speaking engagements, sponsorships, association events, editorial opportunities, and business development activities
- Coordinate event invitations, attendee tracking, RSVP management, and follow‑up communications
Requirements
- Full‑time schedule, Monday through Friday, ideally 8:30 AM to 5:30 PM PST
- English language only; excellent verbal and written communication skills
- Previous experience in marketing, business development, communications, or administrative support
- Experience managing multiple projects and deadlines simultaneously
