The Facilities Manager will manage the day‑to‑day Facility Operations and activities for the assigned facility and all offices in the assigned geography, serving as the on‑site key point of contact for stakeholders and assuming overall responsibility for Facility Management, Landlord management, and infrastructure projects.
Responsibilities
- Manage the day‑to‑day Facility Operations and activities for the assigned facility and all offices in the assigned geography.
- Serve as the on‑site key point of contact for key location stakeholders.
- Assume overall responsibility for Facility Management, Landlord management, and any infrastructure projects.
- Plan, track and execute required works, activities, space and seating management.
- Oversee and own the financial activities including budgeting, tracking spending, billing, provisions, accounting, vendor and contract management, and purchase of material, equipment and supplies.
- Oversee day‑to‑day operations of outsourced manpower involved in janitorial work, security and maintenance of equipment and assets.
- Develop and sustain a high‑quality, well‑motivated team (People Management).
- Manage and coach team members; ensure high staff morale, trust and work ethics.
- Build and maintain an environment that supports teamwork, cooperation and performance excellence within the team.
- Mentor and enable training & development of team members.
- Proactively engage stakeholders to ensure on‑site expectations are met (Stakeholder Management).
- Build and develop effective stakeholder relationships across multiple levels of the organisation.
- Plan and manage all contracts and leases to ensure professional delivery at the right costs (Contracts Management).
- Monitor contract expiries and initiate re‑validations as needed.
- Continuously assess contracts to deliver best value and calculate cost comparisons for goods and services.
- Coordinate and monitor activities of contract suppliers; manage contractor and vendor relationships.
- Ensure vendors are well‑managed, delivering services on time and within budget (Procurement & Vendor Management).
- Review maintenance/service practices of FM vendors and M&E contractors to ensure quality work practices in line with manufacturer recommendations and established processes.
- Plan and manage budgets for soft services and premises sustenance; ensure vendor procurement processes comply with guidelines and best practices.
- Verify payment and invoicing match contract pricing (Financial Management).
- Monitor expenses and payments; generate and present regular reports and reviews of facility‑related budgets, finances, contracts, expenditures and purchases.
- Develop and implement cost‑reduction initiatives; ensure financial processes are followed at all times.
- Ensure provision of a safe working environment; advise on and monitor energy efficiency; oversee environmental health and safety; ensure compliance with statutory fire, health and safety regulations (Health & Safety Management).
- Recommend continuous quality improvement practices and implement industry best‑practice operations (Operations Management).
- Implement building procedures and performance measures; ensure they are maintained at all times.
- Ensure all Critical Environment Management requirements are met.
- Review existing operations regularly to reduce costs and improve operational standards.
- Plan and take responsibility for office upkeep, smooth operations of all installations and works pertaining to the facility.
- Develop and implement a facility management program; supervise office upkeep activities and overall maintenance of facilities and equipment.
- Conduct and document regular facilities inspections.
- Allocate and manage facility space for maximum efficiency; coordinate intra‑office moves; oversee facility refurbishments and renovations.
- Plan and manage facility central services such as reception, security, cleaning, catering, waste disposal and parking.
- Implement best‑practice processes to increase efficiency, reduce cost; check completed work by contractors and vendors.
- Plan and monitor appropriate facility management staffing levels; ensure efficient utilization of facility maintenance staff.
- Develop and implement innovation programs and processes that reduce utility costs, increase productivity and savings, and share learnings within the department.
- Continuously optimize processes, tools and documentation; achieve Key Performance Indicators and Service Level Agreement targets.
- Ensure a property risk management program including audits is implemented and maintained (Risk Management).
- Ensure escalation procedures and incident reporting procedures are implemented and in place.
- Assist in the development of guidelines and strategies to ensure compliance with One97 business code of conduct.
Requirements
- Bachelor’s degree.
- 10 to 12 years of experience in facilities, property management or hospitality.
- Background and experience working in a service industry/environment.
- Knowledge of local occupational health and safety and regulatory requirements.
- Knowledge of critical facilities.
- Knowledge of vendor management for specialized services.
- Excellent understanding of technical aspects of property as well as the utilities.
- Proven capacity to understand and interpret commercial contracts.
- Strong budget management and financial analysis skills.
- Strong communicator – good presentation skills and strong verbal & written communication skills (English, Hindi, local language), and an active listener.
